4 Essential Business Systems Every Entrepreneur Needs

Today, let’s talk time-saving business systems.

You’re busy right? It’s really freaking hard to get a business off the ground, especially when there’s SO MUCH TO DO and you’re doing it ALL. #beenthere

Over the past several years in business, I’ve created some epic time-saving systems for my business and today, I wanted to share it all with you.

These business systems save me tons of time to do other stuff…like create content…or go shopping in France =)

Here’s a breakdown of the business systems I want to cover in today’s post:

  1. Pen & paper brain dump
  2. Outsource (Fiverr, Upwork)
  3. Tools & Automation (Calendly, Trello, Tailwind, Zapier, Meet Edgar)

Business Systems #1: Pen and paper brain dump

Before I do anything, I do a massive brain dump in my planner. What are my top goals for the year? For the month? Then I break it down to each week, then each day. What must happen for my biz to move forward?

I create a list, look it over, and see if anything needs to be outsourced (step 2) or if it’s something that I can (and should) do.

The braindumps are everything. It feels really freaking overwhelming when you have a bazillion ideas and thoughts going through your head…so grab a planner and just dump it all out.

Then you can decide what are the money-making activities? What are the top 3 things that YOU need to do today?

Business Systems #2: Outsource

Outsourcing is an essential part of having successful business systems in place. And before you tell me you can’t afford to outsource, you need to hear me out.

How long does it take you to do the tech stuff, or create a simple graphic for your biz? What if you could hire someone on Fiverr to do it for you for $5? Wouldn’t it be worth it?

My first assistant was in the Philippines (in fact I still use him) and I paid him less than $7/hour for 10 hours a week. He was able to take over all the annoying tech things I hated, so I could spend more time creating content.

If you need a one time job, fiverr.com is a great place to search for what’s called ‘gigs’. You pay by the project.

Upwork and indeed.com are where I hired my two virtual assistants and our team’s social media manager.

Like I said, I didn’t have a huge budget when I was first starting, so I only had a VA for 10 hours/week. Now we have two VAs on the team and I would seriously be lost without them.

Think about alllll the things you do in your business. What can you take off of your plate?

When I sat down and thought about the things that ONLY I can do, it came down to being the face of our company.

I need to:

  • Be on Facebook live
  • Write content for my blog/podcast (although some people hire content writers, I haven’t gotten to that point, nor do I think I will want to)
  • Record podcasts/Alexa skills
  • Write Instagram captions (although I could have someone take transcriptions of other content I’ve created in the past)
  • Create content for courses
  • Be on client/group coaching calls

I can outsource:

  • Schedule podcast interviews
  • Pitch to get on podcasts
  • Customer service emails
  • Create graphics
  • Design slides for webinars
  • Edit & upload the podcast
  • Edit and upload Alexa Skills
  • Edit and upload youtube videos
  • Create insta stories
  • Set up automations in our email provider
  • Copywriting for our launches/programs
  • Designing sales pages/opt-in pages
  • WordPress updates
  • Create and upload pins to Pinterest and Tailwind

I’m sure there’s way more that our team does but that’s all I can come up with now 😉

Did I use to do ALL the things on the outsource list? You betcha. But as my biz grew, I invested back into it. See this post for examples of what I invested in. 

And now I can have a thriving business AND a life.

Business Systems #3: Tools & Automation

How can you create epic systems in your business so you can spend less time working?

I want to share a few of the systems we use in our business to get more done.

Calendly

Calendly is an online scheduling site. Just send your team members or clients the link to schedule an appointment with you. It’s super easy to use and I would be seriously lost without it.

Cost: $10/month

Trello

Trello is a program we use to communicate within our team, and also how I organize my entire life.

We have podcast/blog workflows, our launch plan, I even put my goals, to-do lists, and everything else in there. Obsessed.

Cost: FREE (and priceless)

Tailwind

Tailwind is life!!! I LOVE the company (and even have a bonus with one of the higher-ups in Pin with Purpose). 

Tailwind is a Pinterest scheduling app, but it does SO MUCH for my account and is the BEST thing ever (in my opinion). You don’t have to spend all day on Pinterest to get results, and Tailwind is one of my secret weapons.

Cost: Free, with upgrades (I pay for all the tribes upgrades)

Zapier

Zapier allows you to automate your work flow between apps. Basically, you can set up multiple jobs for it to do, like share your new blog post to Facebook and Twitter automatically.

Zaps that I’ve created:

  • Add new students to a Trello board so I know who and how many people have purchased a particular program
  • Upload Instagram posts to Pinterest
  • Auto post new youtube videos on Twitter/Facebook
  • Auto post all pins to Twitter

and a lot more!

Cost: free with paid upgrades

Active Campaign

You’re building your email list…right?? So you need an email marketing system to set up auto responders, follow up emails, send out blog broadcasts, etc. There are a bunch of different ones out there (Mail Chimp, Constant Contact, Infusion Soft…) but I moved over to Active Campaign this year when I wanted a better automation system for our email funnels.

We used to use AWeber, and I’ve recommended MailChimp to my students who are on a budget because MailChimp is free up to 2,000 subscribers.

Cost: Starts at $17/month, as your email list grows, the cost will increase.

Meet Edgar

Meet Edgar is what I upgraded to a few months ago for scheduling my social media content.

The reason I prefer Meet Edgar is that it saves all of the content you upload and recycles it for you.

Most people aren’t going to see all of your posts, nor are they going to remember that you posted that 6 months ago.

This is a MASSIVE time saver.

Before Meet Edgar, I set up a zap where any posts I made on Facebook would save to an Evernote doc, so I had all the content saved, but I needed to take the time to re-upload it.

Cost: $49/month

Buffer

Buffer is what I used to use to pre-schedule all of my social media content (Meet Edgar wasn’t in the budget just yet). You can download the Chrome extension and schedule posts from any site, plus you can schedule the same post to go in multiple places (like your fan page and a group).

Cost: $10/month

Planoly

Want your Instagram feed to look super cohesive? Plan it out before you post your content! Planoly allows you to upload your pics and actually place them in your grid before you post so you can see how it will look. It also let’s you schedule Instagram pics and post right from the app. #sweet

Cost: free with paid upgrade options

Voxer

How did I live without Voxer?! It’s basically like a walkie talkie app!! I hate texting #truth so being able to send voice messages super easily is amazing.

Cost: free!

Shoeboxed

It’s an app where you can take pictures of your receipts, and it will categorize it. Super helpful come tax time, and a bonus is that you don’t have to save a bunch of receipts!

Honestly, this one is priceless come April.

Cost: Starts at $4.99/month

Did you know that my first business is actually as a health and fitness coach? I lost 80 pounds after I had my son, am featured in a top infomercial, and have literally coached thousands of women to lose weight and ditch the diets. There are a few different ways that you can still work with me in my fitness biz, and you can check them out here.

I included the BEST blender ever on this list because it’s so good for making smoothies, superfood shakes, and even soup! I bought ours in 2010 and it’s STILL amazing. So yes, it’s an investment, but think of all the money I would’ve spent on cheap blenders since 2010! They used to break every year! Also, I included a stability ball instead of a stability ball chair because I honestly don’t love my stability ball chair. The ball that came with it is made for a 4-year-old (not my 6’1” self). I just bought the stability ball here and use it as my chair.

Oh, and the bike! TJ LOVES the bike! I ride him to school on it and we get stopped all the time asking where we got it…Amazon, baby! It’s so cool!

Girl, you need to take care of yourself! L’Occitane en Provence is the besssst stuff from one of my fave places in the world (South of France).

Also, the sleep mask is one of the best things in the entire world. It really helps me sleep and blocks out noise and light. And the pillowcase is just something small that makes me feel a bit luxurious =)

So you’re on Pinterest and you’re dedicated to using Pinterest as part of your marketing plan…now what??

A huge part of my Pinterest marketing strategy includes Tailwind. 

What is Tailwind and why should it be a part of your Pinterest Marketing Strategy?

Tailwind is a Pinterest scheduling app and it works just like other social media schedulers, meaning that you schedule your pins for the week (or month), and you’re pinning around the clock without actually having to be on Pinterest. #winning

You can schedule your own pins or other people’s pins super easily (especially with the Tailwind extension). You pick the schedule that works for you and Tailwind takes care of the rest. Tailwind also recommends times to pin based on when you’re most likely to get repinned. Cool, right?

So you can use Tailwind to schedule out your pins…but one of the coolest features of the app is Tailwind Tribes.

What Is a Tailwind Tribe?

A Tailwind Tribe is a group of people you connect with on the app to support each other by sharing each other’s pins.

It’s a great way to connect with people in your niche and also helps you reach way more people!

Have you joined a group board on Pinterest before? Tailwind Tribes are super similar to group boards, where you join a tribe with a similar interest.

When you join the Tribe, you can submit your pins, where other tribe members can see your pins!

Why are Tailwind Tribes important?

More exposure for you! The idea of a Tailwind Tribe is that you are able to network with people who have similar interests as you, so you’re sharing related content that adds value to each other.

The overall idea is that you have a network of people with similar interests in the tribe, all exposed to the topic related content.

How do you set up a Tailwind Tribe?

Seriously, it’s easy peasy to set up. Decide on what you want to name the tribe if the tribe has any rules, then invite! You can invite people individually or share the link to join the tribe in an email or Facebook group.

Tips for Tailwind Tribe success?

  • Add a good description to each pin with SEO friendly keywords.
  • Stick to the rules (you’ll see them when you join the Tribe).
  • Don’t just share your pins without repinning. Share 2 pins for each one you add of your own.
  • Pin quality pins (see my guide for awesome Pinterest images here). 
  • Regularly make time for your Tribes. Set aside 20-30 minutes each week to check on your Tribes!

So you’re on Pinterest and you’re dedicated to using Pinterest as part of your marketing plan…now what??

A major strategy that has been a part of my Pinterest success is BoardBooster. Have you heard of it?

When I started using BoardBooster, my traffic increased like WOAH. I was shocked. I was like where are all of these people coming from?!

Then I remembered I signed up for that BoardBooster thing. It works!!

So what exactly is BoardBooster and how can it help you with your Pinterest Marketing Strategy?

I’ll cover all of that in this post!

BoardBooster can help you do many different things to help you with your Pinterest marketing plan, such as:

  • Schedule pins
  • Contribute to group boards with campaigns
  • Join tribes
  • Improve pin quality by testing broken links and duplicates
  • Clean up your boards, split a board, or remove all unwanted pins
  • Optimize your Pinterest strategy by seeing analytics for your best performing boards, best times to pin, and more!
  • Looping pins

I’ll break down each part so you can really understand how it works.

Let’s start with the scheduler feature in Board Booster.

Scheduling pins rocks because you can publish your pin during the time when your followers are most likely to notice your pins. It also spreads your pins out over time so you’re not pinning 5,000 things at one time, and it saves you time! You can spend 30 minutes per month scheduling your pins out and you’re done! #yesplease

I get 34,000 people visiting my fitness blog per month from Pinterest alone…and I seriously spend hardly any time on Pinterest. Thank you, BoardBooster!

How does the scheduling feature on BoardBooster work?

The BoardBooster schedule uses secret boards to store up all of your new pins. Then, BoardBooster will publish the pins from the secret boards to your public boards at the time you choose!

You just need to tell BoardBooster how many pins should go on each board per day, the times you want your pins to go out, and the scheduler takes care of the rest! Cool, huh?

This is my fave feature in BoardBooster because as with anything you do in life, consistency is key when it comes to rocking your Pinterest strategy. BoardBooster’s scheduling feature makes it easy peasy for you to be consistent so you’re showing up in people’s feeds every single day.

When scheduling, I suggest that you do 70% other people’s content, and 30% your own content. I share pins that are going to be helpful and relevant to my audience as well as my own pins.

Let’s move onto the campaign feature.

Campaigns are to help you automate your contribution to group boards (group boards will be a topic for a whole other post—I’ll get there!).

Group boards essentially help you increase your audience reach by automatically sharing pins in the group board. It’s really easy to forget to pin to these group boards, so the campaign feature takes care of that for you with:

  1. Random campaigns, which are for contributing evergreen (timeless) pins to group boards. You can decide one or more of your boards as the source of pins or you can provide a list of pins that you want to run for the campaign. Then, BoardBooster will pick the pins out from your source board and pin them to the group boards for you. You will set up the time and how many pins you want to go out each day.
  2. Schedules campaigns will help promote new blog posts in multiple group boards (if your’e in more than one). BoardBooster will basically take pins from a secret board and repin them to multiple boards according to the schedule you set up.

The campaign feature saves a ton of time…otherwise, I would definitely forget to contribute to the group boards I’m a part of!

Alright, let’s move on to Tribes!

Bloggers who have similar interests can cross-promote each other’s pins in what’s called a ‘tribe’. BoardBooster’s tribe management tool will help automate the entire process. #ofcourse

You can join an open tribe, request to join a private tribe, or even create your own!

I haven’t personally used this feature (yet), but it sounds cool!

Improve pin quality with the Pin Doctor!!

Have you met the Pin Doctor? He’s pretty cool =) This feature is one you definitely want to have in your Pinterest marketing strategy!!

To have success on Pinterest, you really need to focus on quality content, which means you want to make sure you don’t have pins with broken links, missing source links, or pins that link to irrelevant content.

The Pin Doctor will automatically go in and check all of your pins and detect any pins that have issues. It’s totally worth it!

The Pin Mover!

BoardBooster’s Pin Mover helps you clean up or split up late boards. It automatically finds all pins that match the criteria you enter and moves them to the board you choose.

This can come in handy if you have a massive board that you started with just recipes, and you want to break it up into  ‘keto recipe’ and a ‘vegan recipe’ boards. All you need to do is tell Pin Mover to find all the pins that contain the words keto or vegan and move them to your new board.

You can also remove all pins with a low number of reins to a temporary board, review them, and delete the board once you decide you don’t want to keep any of those pins.

BoardBooster Reports!

BoardBooster’s reports help you understand your audience so you can fine-tune your pinning strategies!

You can see the ranking of your board’s resin rate, monthly trends, follower growth, the best time to pin, and more!

Looping Pins

The looping tool feature in BoardBooster is an easy peasy way to continuously promote your existing pins to your followers.

If you’ve been pinning for a while, you probably have some great pins from a long time ago. Most of your current followers haven’t seen those pins or they don’t remember them!

The looping feature gives your old pins a chance to go viral by repinning them to the same board. #yeababy

When you loop a pin, you’ll end up with two copies of the same pin on the board. But when you’re setting up this feature, you can enable automatic deduplication, which will compare the total number of direct reins on your old pin with the new pin, and delete the one that is less viral. Makes sense? Basically, you’ll get extra traffic and growth from your old pins without having to create a ton of new content or repin your stuff manually.

The looping feature is going to work best on boards that have a few thousand followers already and at least 100 pins.

Alright, so you can obviously see that I love BoardBooster! It’s just a smarter way to grow your account…why do it all manually if you can automate it?!

Shoeboxed

It’s an app where you can take pictures of your receipts, and it will categorize it. Super helpful come tax time, and a bonus is that you don’t have to save a bunch of receipts!

Honestly, this one is priceless come April!!

Every Dollar

Created by Total Money Makeover author, Dave Ramsey! This tool is great if you’re really trying to track your income and expenses.

Evernote

Evernote is my LIFE. Seriously though. If you have documents and papers all over the place, you need Evernote to help you stay organized.

I have folders for my business, but I even use it to organize important docs like my son’s medical info.

Paypal

If you don’t want to pay for the fancy websites to create invoices just yet, Paypal is a great option. They do take a small percentage of your earnings, but you don’t have to pay a monthly fee.

SignEasy

Sign documents from your phone without having to print and scan! #savetimelivebetter

Voxer

How did I live without Voxer?! It’s basically like a walkie talkie app!! I hate texting #truth so being able to send voice messages super easily is amazing.

Zoom

Want to do video chats? Wonder how people can do a side by side live video on Facebook?! It’s with Zoom!!

Cost: free with paid upgrade options. The free version allows 30 min video calls with up to 25 participants. The live streaming feature is Zoom Webinar, which isn’t free.

Zapier

Zapier allows you to automate your work flow between apps. Basically, you can set up multiple jobs for it to do, like share your new blog post to Facebook and Twitter automatically.

IFTTT

IFTTT (if this then that) is basically the same thing as Zapier. I’ve used IFTTT to do things like automatically save my Facebook posts to an Evernote document, so I literally have YEARS worth of social media content that I can pull from when I’m in a pinch.

An important part of being a biz owner is having a good mindset, so I’ve included some of my fave meditation and devotional apps! Every morning I either do Tony Robbins priming audio or a short meditation with Calm or Headspace.

WordSwag

I love WordSwag for the ability to make super easy picture quote images on my phone!

Put a few of your pics together to make a collage

VSCO

Make your Instagram feed super cohesive by editing your pics the same way. VSCO lets you edit your pics with a million different filter combinations, and you can save those combos so you can use them on all your pics.

Snapseed

Super similar to VSCO, Snapseed allows you to use several different filter combos to edit your pics.

Ripl

Rip allows you to create animated videos to help you stand out on social media. There’s quite a few cool things you can do with this app but I haven’t taken the time to play around with it much yet.

Planoly

Want you Instagram feed to look super cohesive? Plan it out before you post your content! Planoly allows you to upload your pics and actually place them in your grid before you post so you can see how it will look. It also let’s you schedule Instagram pics and post right from the app. #sweet

PicPlayPost

I use PicPlayPost for my workout videos! You can add music, put a video and an image together, or several videos in a sequence. It’s pretty cool!

iMovie

I use iMovie to edit all of my YouTube videos. It’s pretty easy to use (once you watch a few tutorials lol)

Add your watermark to your pics before you post them with this one!

Ever wonder how you can get a picture of your product placed into an iPhone or iPad for a pretty graphic? With placeit.net!!

Canva

Canva is everything lol! I use it every single day to make professional looking graphics for my website or social media. I even use it to make my PDFs for my Pin with Purpose program.

Plugins for the blog:

Yoast SEO

SEO is so important to get your content seen! If you’re not using SEO, there’s a good chance your stuff will never show up in search engines.

Divi (theme)

This is the theme that I use on my WordPress site. It’s SO easy to customize. It’s basically drag and drop, it’s mobile responsive, and has pre-made layouts (like sales pages!). I literally put rachelngom.com together in a day!

Social Media Tools:

Tailwind

Tailwind is life!!! I LOVE the company (and even have a bonus with one of the higher-ups in Pin with Purpose). Tailwind is a Pinterest scheduling app, but it does SO MUCH for my account and is the BEST thing ever (in my opinion)

Cost: Free, with upgrades (I pay for all the tribes upgrades)

BoardBooster

BoardBooster is a tool to schedule your pins. It basically pins automatically for you!!

Cost: starts at $10/month all the way up to $110/month, depending on  how many pins/month you want

Buffer App

I’ve been using Buffer for YEARS and I love it!!! It’s how I pre-schedule all of my social media content. You can download the chrome extension and schedule posts from any site, plus you can schedule the same post to go in multiple places (like your fan page and a group). It’s amazing and saves me SO much time!

Cost: $10/month (but really priceless lol, it’s one of my fave tools!)

Live Leap

Live Leap automatically shares your Facebook live videos to multiple pages and groups. Basically, you start your live stream, and the soft share shares it any place you set it up to go. It’s pretty cool!

bit.ly

Use bit.ly to shorten links. It’s way easier to send people to http://bit.ly/pin-free than it is https://rachelngom.lpages.co/pinterest-fremium-copy/ right?!

Google Streak

Google Streak is a CRM that allows you to create pipelines for your contacts. You can move people through the pipeline (basically wherever they are in the sales process), so people don’t fall through the cracks. You can also set up follow up reminders, take notes, and all other kinds of awesomeness.

Cost: Free up to 200 tracked emails/month, then it starts at $39/month

Gmail Canned Responses

Hate having to write the exact same thing over and over again? Save it in a canned response! That way you can literally pull up the canned response, hit send, and boom! That’s it!

Google apps

Google apps is a way for you to have a professional looking email address (mine is clientcare@rachelngom.com) rather than _____@gmail.com for your biz email OR using a hosted email service.

Cost: free!

Other:

Calendly

Calendly is an online scheduling site. Just send your team members or clients the link to schedule an appointment with you! Easy peasy!

Cost: free with paid upgrade options

LeadPages

LeadPages is my jam!!! If you are building your email list (you should be!!) you need LeadPages! It’s a landing page builder that you can use for opt-ins, thank you pages, sales pages, pop ups, and more!

I LOVE LeadPages! You can see some of the things I’ve been able to make here, here, and here.

Cost: starts at $29/month

Aweber

You’re building your email list…right?? So you need an email marketing system to set up auto responders, follow up emails, send out blog broadcasts, etc. There are a bunch of different ones out there (Mail Chimp, Constant Contact, Infusion Soft…) but I started with Aweber several years back and haven’t left. 

Cost: Starts at $19/month, as your email list grows, the cost will increase. I pay $149/month.

ScreenFlow

ScreenFlow allows you to record and edit screen sharing videos. Super helpful when creating online courses!

Cost: Free trial, then $99

iPhone tripod

Lumee

Want to take lighted selfies? Lumee is a phone case that has lighting built in!!

Cost: Depends on where you get them, this one on Amazon is $23.53

Beats by Dre

I’m obsessed with music! Your ENERGY is going to be a huge factor in how productive you are! Music helps me stay focused and energized, I literally am listening to music all the time while I work. They help me stay in the zone!!

THIS ONE can really be a game changer for you. I hired my virtual assistant over two years ago and he has been AMAZING. He does so much for me! Behind the scenes tech stuff, stuff that anyone can do, he does. You are only one person! Do what only YOU can do (like creating content) and outsource as much as you can! My guy is in the Philippines and I pay him $6.70/hour.

Creative Market

Creative Market is actually where I bought my brand fonts. Did you know you can upload fonts into Canva? Pretty cool! With Creative Market, you can buy and sell design content like vector patterns, icons, fonts, and more!

fiverr.com

If you’re not quite ready for a virtual assistant yet, start with fiverr.com! You can outsource a project at a time for as little as $5! I literally have someone making me a video intro for my youtube channel right now for $12! #score

BombBomb

BombBomb allows you to send custom videos via email! You can download a chrome extension, click record and boom! Literally takes a minute and makes your email way more personal.
